Complete this checklist before, during, and after every school trip where pupils will have access to personal devices or where the school will take photographs.
Before the Trip
Establish and communicate the device policy for this trip (allowed / not allowed / supervised use)
Collect signed photography consent forms for all pupils
Brief pupils on social media rules — no live location sharing during the trip
Check that pupils under safeguarding orders or with image restrictions are noted
Remind staff: photos only taken on school devices or approved cameras — not personal phones
During the Trip
Pupils must not post photos or check-ins to social media in real time
Photos taken by staff must not be shared publicly until after return and review
Monitor that pupils are not sharing the trip location publicly via social media
Any disclosure or safeguarding concern must still be reported — contact the DSL via phone

After the Trip
Review all photos taken before sharing — remove any that include non-consented pupils
Transfer photos from devices to school systems — delete from personal devices
Debrief pupils — ask if anything happened online during or after the trip that worried them
Report any safeguarding concerns that arose to the DSL
Update risk assessment with any lessons learned
