Message to a private tutor or coach

Polite, clear message to a private tutor, music teacher, language coach, or one-to-one instructor about expectations and safeguards.

When to use this template

Use at the start of a new arrangement, or when you want to update existing expectations around communication, lesson location, recording, and safeguarding.

Tone guidance

  • Open with thanks. Frame this as setting things up well, not as suspicion.
  • Be explicit about communication channels and who is copied in.
  • Be explicit about cameras, recordings, and venue changes.
  • Make clear this is your standard approach, not a personal challenge.

Template

Hi [TUTOR / COACH NAME],

Thank you for working with [YOUR CHILD'S NAME] ([LESSON TYPE / FREQUENCY], [LESSON LOCATION]).

I wanted to set out a few things in writing so we're all on the same page, particularly because [YOUR CHILD'S NAME / AGE] is a child.

Communication:
[COMMUNICATION PREFERENCES]

Recording, cameras, and online lessons:
[RECORDING / CAMERA PREFERENCES]

A few standing requests from us:
- Please copy a parent into any written communication with [YOUR CHILD'S NAME].
- Please avoid direct messaging on personal social media accounts.
- If anything comes up in a lesson that worries you — about wellbeing, behaviour, or safety — please tell us.
- If you ever need to cancel or change a venue, please let us know in advance.

This isn't about you specifically — it's how we set things up with all adults who work one-to-one with our child.

Please shout if any of this is awkward for how you usually work; we'd rather agree it now than later.

Best wishes,
[YOUR NAME]
[YOUR PHONE / EMAIL]
